Update prices from a price list

Copy rows from your distributor's price list (Excel, Google Sheets, or an emailed spreadsheet) and paste them here, or upload a CSV. You need the product name and price; bottle size and case pack help with accuracy.

Add bottles from a distributor invoice

Take a photo or upload a PDF of an invoice or delivery slip. The app reads each line, then you check everything before it's added: bottles go into your inventory, and costs and that distributor's prices are updated.

Works with

  • Invoices and delivery slips from your distributors
  • The whole page, flat, in good light
  • Multi-page invoices: one page at a time

Not for

  • Menus or cocktail lists
  • Price lists: use
  • Photos of bottles
  • Store receipts

Backup

A backup is a file with everything in the app: bottles, drinks, distributors, counts and orders. Keep one on your computer now and then. It's for your own Bar Cost data only, not for invoices, menus or price lists.

Download a backup

Saves a .json file to your computer.

Only the bar's owner can restore or start over. Your changes are kept as earlier versions in the owner's account.

Restore from a backup file

Replaces everything currently in the app with the backup. Download a backup of the current data first if you might need it.

Start over

Clears everything in the app so you can start a fresh bar. If you're signed in, earlier versions are kept, so you can still go back.

Pricing settings

Waste allowance

Real liquor cost runs a little above the recipe: spills, over-pours, comps. This is added to the liquor in every drink's cost, so suggested prices and margins are more honest.

Menu sections

Price parts of your menu differently, like Signature at 82% and Well at 75%. Each drink uses its section's goal unless you set its own in Build. The Menu tab and printed menu are grouped by section.

What if prices change?

See what a price rise or drop would do to your drinks before it happens. Nothing here is saved.

Use a minus sign for a price drop, e.g. −5.

What goes into one batch

Import your bottle list

From a spreadsheet or an inventory/POS export: copy the rows (with the heading row) and paste them here, or upload a CSV. A bottle name is all you need; size, cost and category help. You check every row before anything is added.

Excel or Google Sheets: File → Download / Save As → CSV.

Send feedback

What's confusing, broken or missing? Anything helps. It goes straight to the person building Bar Cost.

Import sales from Toast

In Toast: Reports → Menus → Product mix (or Item sales) → pick the dates → Export CSV. Upload it or paste it here. Any POS export with an item name and a quantity sold works.

The last state of your bar in each hour you worked on it, newest first. Restoring keeps your current bar as a version too, so you can switch back.
